Marcel Wanders is looking for an Operations Assistant with great eye for detail and a passion for hospitality.
This support role is focused on Operations and Front of House responsibilities (shared with an Office Assistant) and has additional support responsibilities in both the HR and Facilities fields. This means you are, together with the Office Assistant responsible for our front desk, telephone, general email boxes, ordering office supplies, catering & meeting services, travel arrangements and general studio matters. You are the first point of contact when it comes to our visitors. Being well presented, well-spoken and approachable are valuable qualities for this position. You are energetic and pro-active, giving excellent service to not only our visitors but also to our own studio members. With your flexible mindset and hands-on approach you run the studio smoothly. Your friendly and empathetic approach to everything you do helps you play a central facilitating and supportive role in ensuring excellent service to the studio in general as well as the various disciplines within the Operations Team. The overall facility coordination is one of your main tasks and you will assist on the IT ticketing system flow, arranging of conferencing facilities and placing of orders for general IT purchases.
The additional support responsibilities are, for example being an assistant to the HR Coordinator by maintaining accurate and secure personnel information. Knowledge of salary/HR system is a big plus. You are comfortable assisting with on and off-boarding of employees, and have the administrative skills to assist with the preparation of mandatory work permits and 30% ruling applications. Coordinating our interns and welcoming new team members to the studio will be one of your tasks. Your passion for creating a lively atmosphere will be an asset when you coordinate and plan special festive moments in the studio or assisting with company events.
Regarding facilities support, you will be the first point of contact with landlord, cleaning company and security partners. Also maintaining the BHV environment in the studio and attending yearly BHV trainings are amongst your responsibilities. In your role as an Operations Assistant you think in possibilities instead of problems. You are an excellent planner and with your hands-on mentality, your talent for multi-tasking and your passion for hospitality you create an environment of love!
